Administrative Property Coordinator – Property Management

 

Mid-America Real Estate-Minnesota, LLC is seeking a dynamic, full-time Administrative Property Coordinator to support the property management team. The Property Coordinator is responsible for the day-to-day activities within a portfolio of managed properties. The Coordinator must possess strong communication/organization skills, the ability to work independently, be detail oriented, and must be able to handle multiple priorities in a fast-paced environment.

Job duties and responsibilities include, but are not limited to:
• Establish and maintain appropriate filing systems, both manual and electronic which may include confidential files and reports
• Communicates with various departments and other third parties to gather and provide information to assemble and prepare & maintain reports and documents
• Ensure that all proper lease required and legal documents are received, current, accurately verified and entered into the appropriate systems. Involves both vendors and tenants
• Works with property management team to minimize expenditures, maximize revenues and adhere to budgeted cost/scheduling parameters
• Assist with project bidding and prepare necessary paperwork and/or contracts.
• Prepares and/or edits written correspondence, communications, contracts, sales report letters, etc. ensuring that company format policies are followed and recommending revisions where appropriate
• Utilize various software packages such as spreadsheets, word processing, Corel to produce high quality reports, site plans, and other documents
• Performs general administrative and clerical functions such as copying, printing, scanning, filing, faxing, email and data entry
• Maintain various database and spreadsheet files
• Coordinate activities and liaison functions for assigned team members such as meetings with vendors and property services.
• Create and update Lease Abstracts for each tenant.
• Answer phones, forward accurate and detailed messages, and facilitate services, as appropriate
• Coordination of maintenance/service requests
• Learn to operate new technologies as they are developed and implemented
• Support team members with any responsibilities applicable to job
• Provides back-up support to other administrative functions within the office
• Other administrative duties as assigned by supervisor
 

 

Qualifications and Required Skills:
• Relevant 1-2 years of professional experience
• Proficient in Microsoft Office to include Word, Excel, Outlook, and PowerPoint. Familiarity with ACT helpful.
• Must be able to work efficiently with minimum supervision, work well under pressure, and handle multiple tasks/demands and changing priorities under tight deadlines
• The ability to identify and resolve problems in a timely manner, gather and analyze information skillfully and maintain confidentiality
• Must speak clearly and persuasively in positive or negative situations and demonstrates group presentation skills
• Demonstrates accuracy and thoroughness and monitors own work to ensure quality
• Strong organizational skills and the ability to multi-task
• Remains open to others’ ideas and exhibits willingness to try new things. A team player.
