Associate Director

Primary Function:
The Associate Director is responsible for supporting the Executive Director in accounting, administrative, committee, special events and meetings management work as well as has close interaction with members.
 
The focus of this position is on producing high quality, detailed work based on established procedures.  This position requires excellent organizational and communication skills and the ability to multi-task and adapt to changing situations.  
 
The ideal candidate will be experienced in handling a wide range of related tasks from administrative to leadership and will be able to work independently as well as within a team. This person must be exceedingly well organized, flexible and enjoy the challenges of working in a small staff office with diverse members and programs.  The ability to work in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
 
Essential Duties and Responsibilities:
Accounting:
Process as needed, member and non-member registrations, sponsorships, memberships and contribution invoices for goods and services
Enter accounts receivables
Prepare and make deposit(s)
Process credit card payments
 
Administrative: 
Respond to phone calls and emails
Update and maintain member database
Disperse incoming mail
Assist with blast emails, direct mail, marketing fliers and other production pieces as needed 
Website administration including but not limited to updates, enhancements, new pages, etc.
Provide design and graphic assistance
Establish and maintain high-profile visibility and accessibility with members and non-members; represent the organization and provide accurate information and answers as needed to all requests.
 
Committee Work
Oversee committee operations including but not limited to:
Prepare co-chairs for committee responsibilities
Create/update committee rosters
Prepare, send out and follow up on committee information and requests
Assist with committee budgeting
Committee website updates
Coordinate/facilitate committee activity and/or events
Prepare committee recaps for board of directors
Compile and track committee reports and recaps
Assist with and attend required and requested committee meetings

Meetings:
Assist with and attend required and requested committee, vendor and member meetings  
Executive meetings – approximately 4 per year
Leadership kickoff meeting – January
Attend any other requested internal or external meetings as needed
 
Other:
Perform all other duties as assigned

Dimensions:
Does not supervise other employees
 
Required Knowledge, Education and Experience:
Two-year business degree
Previous trade association experience preferred
Strong computer skills
Social media skills
Strong oral and written communication skills
Self-motivated and highly organized
Detail-oriented
Ability to multi-task
Valid Minnesota driver's license
 
Physical Requirements/Working Conditions:
Lifting and moving up to 25 pounds in standard office conditions

Standard office equipment
