Manager, Concessions Contracts & Proposals

 The Concessions Contracts and Proposal Manager will serve as the organizational point of contact and will lead the concession's department proposal development efforts throughout the proposal life cycle, from initiation through production. This position plays a critical role in proposal success, and calls for both excellent project management and written communications skills (writing and editing), along with the ability to collaborate with designated subject matter experts in all of MAC's functional areas. Additionally, the manager will oversee from inception through lease closeout, the MAC portfolio of passenger services agreements. These agreements are consumer facing concessions agreements not related to food & beverage or retail, including but not limited to the advertising, media and sponsorship agreements, banks and ATMs, shoe shine, and other ancillary contracts.
Position Description

The Concessions Contracts and Proposals Manager will plan and organize the solicitation efforts and interface with management on progress and problems. Related responsibilities and duties will include:

Proposals
Draft, modify and finalize solicitations such as Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and Request for Bids (RFBs) specification documents
Collaborate with the Concessions and Business Development team to ensure project objectives are met
Establish a schedule for writing, reviewing, editing and production of solicitation based on the submission due date
Maintain consistency in proposal development for style, presentation, and RFP guidelines
Schedule and conduct pre-proposal conferences and related meetings with potential and existing tenants and related clients
Lead solicitation kickoff meetings, ensure the solicitation outline and schedule are distributed, issues are addressed, and writers are assigned
Moderate proposal review and scoring processes
Develop content, incorporate and format written responses into a formal review document at each level of review
Check responses for compliance with solicitation and any other referenced documents
Ensure all solicitation volumes/sections agree, including oral presentation, if required
Track schedule and progress to ensure all deadlines are met
Prepare/produce proposal document for final submission
Create the necessary templates and outlines to assist proposers in developing compliant responses
Exhibit strong leadership throughout the scheduling, coordination and facilitation of the solicitation process by preparing status meetings and escalating issues as needed
Compile information and draft recommendation materials for Board consideration
Assist, participate and coordinate scheduling with construction review teams
Assist project managers and building officials during construction phasing
Respond to data requests relevant to concessions contracts
Performs other duties as assigned

Contracts
Manage portfolio of MAC Passenger Services Agreements. These agreements are consumer facing including but not limited to advertising and media, banks/ATMs and shoe shine.
Participate in the drafting, modifying and finalization of lease agreements, amendments and other real estate documents
Review requests for lease generated actions and coordinate approval and implement actions
Coordinate appropriate accounting and collection actions with MAC's Finance department
Analyze monthly revenue reports in conjunction with MAC Finance regarding assigned concessions performance
Interpret and report monthly financial updates in order to ensure lease compliance
Provide lease interpretations in coordination with Legal staff
Maintain tenant relations to ensure lease compliance and related business term issues with the terms of Concessions Agreements and airport rules and regulations
Resolve management, tenant, and customer complaints and conflicts between tenants to ensure excellent tenant relations
Participate in monthly tenant meetings
Assist in developing and leveraging business tools and processes to maintain high levels of customer service and revenue generation
Conduct monthly peak and off peak passenger experience audits
Provide candid and honest feedback to all concessions tenants regarding physical premise and customer service opportunities witnessed during terminal inspections
Identify, implement and manage MAC sustainability initiatives, goals and expectations
Propose and manage passenger experience and MAC revenue capture during periods of construction and concessions disruption
Serve as a liaison between Public Affairs and Marketing to identify concessions marketing and promotion opportunities
Administer and assist in drafting lease amendments
Review legal content and contractual language with legal counsel
Monitor emerging industry trends and recommend actions necessary to add, modify, or delete concessions or business concepts that reflect those current needs and the Commission's stated goals and objectives
